This privacy policy explains which personal data is processed when you visit this website and when you use the contact form. The website does not use analytics, tracking or marketing services.

3. Provision and hosting of the website

This website is hosted by mittwald CM Service GmbH & Co. KG, Königsberger Straße 4-6, 32339 Espelkamp, Germany. A data processing agreement pursuant to Article 28 GDPR is in place with the provider.

When you visit the website, the web server processes technically necessary connection data, in particular the IP address, time of access, requested page, browser type and operating system. This processing serves the secure and stable operation of the website and is based on our legitimate interest pursuant to Article 6(1)(f) GDPR. The retention period of these server log data depends on the settings of the hosting provider.

4. Contact by email or telephone

If you contact us by email or telephone, we process the information you provide in order to handle your enquiry and any subsequent questions.

Where the enquiry relates to entering into or performing a contract, processing is based on Article 6(1)(b) GDPR. In other cases, processing is based on our legitimate interest in handling business enquiries pursuant to Article 6(1)(f) GDPR.

5. Contact form

If you use the contact form on this website, we process the data you enter: name, company (optional), email address, telephone number (optional), topic and message. For technical reasons, connection data (in particular the IP address and time of the request) is also generated when the form is submitted.

The purpose of processing is to handle your enquiry and to answer any follow-up questions. The legal basis is Article 6(1)(b) GDPR where your enquiry relates to entering into or performing a contract; otherwise it is our legitimate interest in handling business enquiries pursuant to Article 6(1)(f) GDPR.

The data is transmitted by the web server and our email service Microsoft 365 by email to Konferenztraum GmbH. No external form service is used. To protect against misuse (spam), we limit the number of submissions per connection; for this purpose only an anonymised check value (hash) of the IP address is stored temporarily on the server. The content of your enquiry is not stored on the web server.

Your data is stored until your enquiry has been finally processed, unless statutory retention obligations (e.g. for business correspondence) apply. The fields marked with * are required so that we can process your enquiry.

6. External map and social media links

Google Maps, Apple Maps and Instagram are not embedded directly into this website. Only external links are provided. Merely visiting our website therefore does not establish a connection to these services.

When you select one of these links, you leave our website. The respective provider may then process personal data, including your IP address. The respective provider is responsible for that processing.

7. Cookies, analytics and marketing

The current implementation does not use analytics, tracking or marketing services, nor does it set cookies for these purposes. It also contains no embedded maps or social media feeds.

If any such services are added later, this policy will be updated beforehand and consent will be obtained where required.

8. Retention period

Personal data is stored only for as long as necessary to process an enquiry, perform a contract or comply with legal retention obligations.

When the purpose of processing no longer applies and no legal retention obligation or other legal basis remains, the data concerned will be deleted.

9. Recipients and international transfers

Personal data is disclosed only where necessary to handle your enquiry or perform a contract, where required by law, or where you have provided prior consent.

The recipient in connection with the provision of the website is the hosting provider mittwald CM Service GmbH & Co. KG as processor. For sending and receiving emails, including messages from the contact form, we use Microsoft 365 provided by Microsoft Ireland Operations Limited as processor. A transfer of personal data to countries outside the European Union (in particular the USA) cannot be ruled out; it takes place only on the basis of the safeguards provided for by the GDPR (for example EU standard contractual clauses or an adequacy decision).

Subject to the applicable legal requirements, you have the right to:

• access your personal data under Article 15 GDPR,
• rectify inaccurate data under Article 16 GDPR,
• erase your data under Article 17 GDPR,
• restrict processing under Article 18 GDPR,
• receive your data in a portable format under Article 20 GDPR, where applicable,

This website is delivered over an encrypted HTTPS connection. Additional technical and organisational measures are implemented in accordance with the risks associated with the relevant processing activities.

13. Updates to this policy

This privacy policy will be updated whenever the technical implementation, hosting, contact form or services used by the website change.

14. Language notice

This English version is provided for information purposes. In the event of any discrepancy, the German privacy policy shall prevail.
